Terms and Conditions

Introduction & Contents

Book Bhutan Tour is licensed under License No. 1033320 and ISC Code ISISC-63040 by the Department of Tourism, Bhutan, the governmental regulatory body for tourism. Please carefully review these terms and conditions before booking your trip. By booking with us, you agree to all terms and conditions.

Prices & Surcharge

Prices are shown in US dollars and can be converted into JPY, EUR, and GBP based on the latest exchange rates. We charge a single supplement for individual travelers who wish to stay in private rooms.

Deposits & Final Payment

A deposit of 50% of the tour cost is required at the time of booking, with the remaining balance due 45 days before arrival. For bookings made within 45 days of arrival, full payment is required at the time of booking. Higher deposits may be required for tours that include additional products, such as luxury hotels, and these requirements will be communicated before booking confirmation.

Young Travelers

Travelers under 18 must be accompanied by an elder or guardian throughout the trip. Adults booking with minors are responsible for their behavior and well-being and accept these terms on their behalf.

Airfare

Tour prices do not include international or domestic airfare unless explicitly mentioned. When we arrange flight tickets, we act as a sales agent for the airline and provide the same prices as the airlines. We are not responsible for changes in airfare, itineraries, or flight times if you book your flights independently.

Travel Documents

Clients must have a passport valid for at least 6 months from the date of departure from Bhutan, along with a passport-sized photograph. We handle Bhutan visas and permits, but clients are responsible for securing visas and permits for other countries. We are not liable for any expenses arising from denied entry due to improper documentation.

Gratuities

Gratuities for tour guides, drivers, and trekking crews are not included in the trip cost and are left to your discretion.

External Services

We may recommend external companies’ services upon client requests but do not guarantee their quality. We are not responsible for injuries, expenses, or costs from inadequate third-party services.

Changes by the Company

We reserve the right to make reasonable changes to the itinerary due to unexpected events or unavoidable circumstances. Affected clients will be informed as soon as possible.

Changes by the Client

Clients must confirm changes to the original booking in writing. While we will make efforts to accommodate changes, availability cannot be guaranteed. Clients must bear any costs arising from such changes.

Cancellation Policy

Clients may cancel their booking by written notice. Cancellation fees apply based on the notice date:

  • Up to 30 days before the date of travel: USD150 administrative fee per person.
  • 29 to 21 days before the date of travel: 10% of the travel arrangement
  • 20 to 14 days before the date of travel: 25% of the travel arrangement
  • 13 to 7 days before the date of travel: 35% of the travel arrangement
  • Less than 7 days before the date of travel: 60%of the travel arrangement
  • After arrival in Bhutan or “no shows” at the airport: 100% of the travel arrangement

Clients bear any bank charges incurred while transferring refunds. Different cancellation policies may apply to luxury hotels and airlines.

Public Holidays

During local or national holidays, special events, or religious occasions, certain facilities may be limited or unavailable. Alternatives will be offered where possible, but we are not liable for closures or necessary itinerary changes.

Limitation of Liability

Travel involves certain risks beyond our control, including dangers in undeveloped areas, travel by automobile or aircraft, natural forces, political unrest, and remote regions’ illnesses. While safety measures are taken, we are not responsible for such risks.

Insurance

Tour costs do not include insurance coverage. Clients are required to obtain separate insurance from their home country, which should cover cancellation, curtailment, and other potential expenses. Emergency helicopter airlift coverage is highly recommended for high-altitude treks.
